Revenue Management Software

Revenue management software recommends rental rates based on demand, leasing pace and market conditions. For student housing it typically prices by bed and unit type across a single pre-leasing season.

Guide updated Oct 29, 2026. Written for operators, with input welcome from people who do this work.

Why this matters

Student housing pricing follows the academic calendar, with most leases signed in one pre-leasing window and very little chance to recover once the fall term starts. A pricing tool that reads your market like a conventional apartment can push rates in the wrong direction at the wrong time, leaving beds empty or money on the table for a full year.

When you need it

  • Before the pre-leasing season opens and you need to set starting rates.
  • When your pre-leasing pace is falling behind or running well ahead of prior years.
  • When you take over a property and need a defensible pricing approach for owners.
  • When new supply near campus changes the competitive picture.

Common challenges in student housing

  • Tools built for conventional apartments can misread the academic leasing calendar.
  • Limited historical data for new or recently acquired properties makes early recommendations less reliable.
  • Staff may override recommendations without a record, making results hard to judge.
  • Concessions, renewals and incentives can be hard to model alongside base rent.
  • Rules on the use of pricing tools and shared market data are changing, so legal review matters.

What to look for

  • Pricing that works at the bed or unit-type level, not only by apartment.
  • Models that account for the pre-leasing curve and compare your pace to the same week in prior years.
  • Use of local student market inputs such as enrollment trends, nearby new supply and distance to campus.
  • Clear explanations for each recommended price change so you can defend it to owners and staff.
  • Simple controls for overrides, floors and ceilings, with a record of who changed what.
  • A clear answer on how they handle concessions, renewals and incentives alongside base rent.
  • Current guidance on how they use market data and how their approach fits local and federal rules on pricing tools.

How pricing usually works

  • Commonly a subscription priced per unit, per bed or per property, billed monthly or annually.
  • Onboarding, data setup and integration with your property management software may be separate fees.
  • Some providers bundle advisory or analyst support, while others charge for it separately.
  • Contract terms and minimum commitments vary by provider.

How prices are usually structured, not what they cost. Actual prices vary by market, property and scope, so compare written proposals.

Questions to ask a supplier

  1. Do you price at the bed level, the unit type level or both?
  2. How does your model account for the pre-leasing curve and prior-year pace?
  3. What local market inputs do you use, and where does that data come from?
  4. How do you explain each recommended change so we can share it with owners?
  5. How do overrides, floors and ceilings work, and is there a change log?
  6. How does your approach address current federal, state and local rules on pricing tools?
