Payroll, Benefits and HR

Payroll and HR providers pay your staff, withhold and file payroll taxes, and keep employee records, and many also handle benefits, time tracking and hiring paperwork. Some act as a co-employer and take on part of the HR administration for you.

Guide updated Oct 29, 2026. Written for operators, with input welcome from people who do this work.

Why this matters

Student housing staffing swings through the year, with seasonal turn crews, part-time student leasing agents and community assistants who may get a rent credit instead of a paycheck. A payroll and HR partner that can't handle quick onboarding, multiple states and unusual pay types leaves you with late checks, misclassified workers and compliance gaps right when you need every hand for move-in.

When you need it

  • When you are hiring a wave of seasonal turn staff and student leasing agents before move-in.
  • When you take over a property in a new state and need to register and file there.
  • After a missed paycheck, tax notice or worker classification question exposes gaps in your current setup.
  • At contract renewal, when fees or service levels no longer fit your portfolio.

Common challenges in student housing

  • Onboarding a lot of short-term hires at once without paperwork falling behind.
  • Handling live-in staff whose compensation includes free or discounted housing, which can have tax and wage rule implications.
  • Keeping student employees within hour limits set by their school or their own schedules.
  • Tracking hours accurately for staff who move between properties, roles and on-call shifts.
  • Offboarding seasonal staff cleanly so final pay and records are handled on time.

What to look for

  • Fast onboarding for seasonal and part-time hires, including mobile-friendly paperwork and electronic I-9 handling.
  • Support for unusual compensation: ask how they handle rent concessions for live-in staff, leasing bonuses and per-unit turn pay.
  • Multi-state payroll and tax filing if you have properties near campuses in more than one state.
  • Clear rules for tracking hours toward benefits eligibility so part-time and seasonal staff are counted correctly.
  • Time tracking that works for staff who split shifts between the office, maintenance and overnight on-call.
  • A named contact you can reach during peak hiring, not only a general support queue.
  • Reporting by property so owners can see labor costs for each community separately.

How pricing usually works

  • Usually priced per employee per month, often with a base fee per payroll run or per company.
  • Co-employment arrangements are often priced per employee or as a share of payroll, which varies by provider.
  • Time tracking, benefits administration, hiring tools and year-end tax forms are often extra add-ons.
  • Setup, implementation and off-cycle payroll runs may carry separate one-time fees.

How prices are usually structured, not what they cost. Actual prices vary by market, property and scope, so compare written proposals.

Questions to ask a supplier

  1. How quickly can a new seasonal hire be onboarded and paid, start to finish?
  2. How do you handle housing provided to live-in staff as part of their pay?
  3. Which states can you file in, and is there a fee to add a new one?
  4. Can we report labor costs separately for each property and each owner?
  5. What is included in the base price, and which features cost extra?
  6. Who is our day-to-day contact during peak hiring season?
  7. How do you keep us updated when payroll tax or wage rules change?
